Privacy Policy

This policy applies to the touchhall.com website and to communications you have with us, such as emails, contact form submissions and scheduled calls.

It does not govern content that schools and organizations ("Customers") publish using the Touch Hall platform, such as inductee profiles, records, donor listings or yearbook scans. We process that content on the Customer's behalf under our agreement with them, as described in the "Customer content and student data" section below.

Information you give us. When you complete our contact form, email us or book a call, we collect the information you choose to provide, which may include:

• Your name, work email address and phone number
• The name of your school or organization and your role
• The products you are interested in and the contents of your message
• Scheduling details you enter when booking a guided tour

Information collected automatically. Like most websites, our hosting provider automatically records basic technical information when you visit the Site, such as your IP address, browser type, device type, referring page, pages viewed and the date and time of your visit. We use this information to operate, secure and troubleshoot the Site.

Cookies. The Site does not use advertising cookies, and we do not currently use third-party analytics or tracking cookies. If we introduce them in the future, we will update this policy and, where required by law, ask for your consent first.

We use personal information to:

• Respond to your enquiries and provide guided tours and demonstrations
• Prepare proposals and communicate with you about our products and services
• Provide, maintain and support the services we deliver to Customers
• Operate, secure and improve the Site, and prevent fraud or abuse
• Comply with legal obligations and enforce our terms

We do not use your personal information to make decisions based solely on automated processing that produce legal or similarly significant effects.

If you are located in the European Economic Area, the United Kingdom or Switzerland, we process your personal information on the following legal bases: to take steps at your request before entering into a contract; our legitimate interests in running and promoting our business, provided those interests are not overridden by your rights; compliance with legal obligations; and your consent, where we ask for it. You may withdraw consent at any time.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share personal information only as follows:

• Service providers who help us run our business, such as our website host, email provider, FormSubmit (which delivers contact form submissions to our inbox) and Calendly (which handles call scheduling). They may use your information only to provide services to us.
• Professional advisers, such as lawyers and accountants, where necessary.
• Authorities or other parties when required by law, or when we believe disclosure is necessary to protect the rights, property or safety of our users, Customers, us or others.
• A buyer or successor in connection with a merger, acquisition, financing or sale of all or part of our business, subject to this policy.

When you book a call through Calendly or submit our form through FormSubmit, those providers also process your information under their own privacy policies, which we encourage you to review.

Customers decide what content appears on their Touch Hall displays and public web pages. For that content, the Customer is responsible for its collection and publication, and we act as a service provider (or "processor") that handles it only on the Customer's instructions and under our agreement with them.

Where a Customer is an educational institution in the United States, we handle any education records we receive as a "school official" with a legitimate educational interest under the Family Educational Rights and Privacy Act (FERPA), and we use them only to provide the services. We do not sell student information, use it for targeted advertising, or build profiles of students for non-educational purposes.

If you want to access, correct or remove content about you or your child that appears on a Touch Hall display, please contact the school or organization that published it. We will assist our Customers in responding to such requests.

We keep personal information only for as long as we need it for the purposes described in this policy, including to meet legal, accounting and reporting requirements. Enquiry and correspondence records are generally kept for as long as we have an active or prospective business relationship and a reasonable period afterwards. Customer content is retained and deleted in accordance with the relevant Customer agreement.

We use reasonable administrative, technical and physical safeguards designed to protect personal information, including encryption in transit. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.

Depending on where you live, you may have the right to:

• Know what personal information we hold about you and obtain a copy
• Correct inaccurate personal information
• Delete personal information we hold about you
• Object to or restrict certain processing, and withdraw consent
• Receive your information in a portable format
• Opt out of the sale or sharing of personal information, or of targeted advertising (we do not engage in either)

To exercise any of these rights, email us at info@touchstone-ds.com. We will verify your request using information you have already provided to us and respond within the time required by applicable law. You may use an authorized agent to make a request on your behalf, and you may appeal our decision by replying to our response. We will not discriminate against you for exercising your rights.

If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection authority.

The Site is intended for adults, such as school staff, administrators and alumni. We do not knowingly collect personal information directly from children under 13 through the Site. If you believe a child has provided us with personal information, please contact us and we will delete it.

We are based in the United States, and the information we collect is processed in the United States and other countries where our service providers operate. Those countries may have data protection laws that differ from the laws of your country. Where required, we use appropriate safeguards for these transfers.

Because we do not track visitors across websites or sell or share personal information for advertising, we treat all visitors as having opted out. We honor Global Privacy Control signals where applicable law requires it.

The Site links to websites and services we do not control, including our scheduling page and the websites of our partners. This policy does not apply to them, and we are not responsible for their privacy practices.

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page and, if the changes are material, provide additional notice where appropriate. Your continued use of the Site after an update means you accept the revised policy.
